Can ChatGPT Do My Bookkeeping?

By the Korven team · Prices as of
The short answer

Partly. ChatGPT and similar AI tools can help with parts of bookkeeping: suggesting categories, drafting, explaining entries and summarizing a month in plain English. They cannot be accountable for your books. A person still has to reconcile every account to its statement, catch errors, get payroll and sales tax right, and sign off on the numbers your lender and tax preparer rely on.

What can ChatGPT help with in bookkeeping?

ChatGPT can help with bookkeeping tasks that involve sorting, drafting and explaining, as long as a person checks the result:

  • Categorizing. Suggesting an account for a vendor or a batch of transactions, which you confirm against your chart of accounts.
  • Drafting. Rules for recurring transactions, a payment reminder, or questions for your bookkeeper.
  • Explaining. What an accrual is, or why the balance sheet moved.
  • Summarizing. A short note on what changed in this month's profit and loss.

An AI tool only knows what you give it, and it cannot tell whether that is complete. Its answers can also be confidently wrong, so check every suggestion against the source.

What does bookkeeping still need a person for?

A person is still needed wherever a mistake changes numbers someone else relies on:

  • Reconciliations. Every bank, card and loan account matched to its statement, down to a $0.00 difference.
  • Errors and duplicates. A payment recorded twice, a transfer booked as income, or a bank line missing from the books.
  • Cutoffs and accruals. Income and expenses recorded in the month they belong to, not when the cash moved.
  • Payroll and sales tax. Each payroll run and sales-tax filing checked against the books, because errors can bring penalties.
  • Sign-off. Someone who closes the month, locks it and answers for the numbers.
  • Tax-ready books. A year-end file your tax preparer can use without rebuilding it.

The full sequence is in The Month-End Close Checklist.

Is it safe to paste financial data into ChatGPT?

Pasting financial data into any chatbot decides who can see it, so treat it like sharing files with a new vendor. Before you paste anything:

  • Read the tool's privacy settings and terms, so you know how your inputs are stored and used.
  • Remove account numbers, Social Security numbers and employee details.
  • Check whether an agreement with a client, lender or employee limits where that data can go.

Many questions need no real data at all.

Will AI replace my bookkeeper?

In our view, AI changes what a bookkeeper spends time on more than whether you need one. Faster categorizing leaves more time for reconciling, reviewing and explaining. What you pay a bookkeeper for is accountability: a named person who closes your books on a fixed calendar and answers your questions. If you use AI tools too, agree who reviews what, so nothing in the books changes without a check.

What else do people ask about AI and bookkeeping?

Can ChatGPT reconcile my bank account?+
Not on its own. A reconciliation matches every line in your books to the statement and explains any difference down to $0.00. An AI tool can help compare lists, but a person still has to check the result against the actual statement.
Can I use ChatGPT to categorize my transactions?+
It can suggest categories and save time. Check each one against your chart of accounts, because the tool does not know your business.
Is it safe to upload bank statements to an AI chatbot?+
Read the tool's privacy settings and terms first, and remove account numbers, Social Security numbers and employee details before you share anything.
Can ChatGPT do my business taxes?+
It can explain general tax ideas, but it is not a tax preparer and is not accountable for your return. Korven prepares your books and tax file; our licensed CPA partner prepares, signs and files your return.
How much does a bookkeeper cost?+
Outsourced monthly bookkeeping commonly costs $300 to $700 a month for small businesses. Korven starts at $400 a month for up to 200 transactions, as one flat fee.
